Fall 2026 Exchange Programs at Tohoku University (Japan)

Students interested in applying for the Fall 2026 exchange program at Tohoku University must read the following instructions carefully. The application process utilizes the online “TAO” (The Admissions Office) system. To ensure eligibility compliance, you must complete the internal registration process first to obtain the specific application link.

Applicants are solely responsible for managing their application schedule and outcome.

  • No Administrative Assistance for Negligence: The College/Office will NOT provide assistance or remedies for applications that fail due to personal mismanagement of time (e.g., contacting professors too late, insufficient time reserved for system entry) or failure to find a prospective supervisor (for research-based programs).
  • Tracking Recommendation Letters: It is the applicant’s responsibility to actively confirm that their recommender (academic advisor) has uploaded the letter and clicked “Submit request” within the system before the deadline. Failure to do so will result in an incomplete application, for which the applicant bears full responsibility.

Important Dates (JST – Japan Standard Time)

  • CoS NTNU Internal Registration Deadline:January 23, 2026 at 17:00 (Taiwan Time)
    • (You must register internally by this date to receive the TAO application link.)
  • COLABS “Prior Consent” Deadline:January 30, 2026 at 15:00
    • (COLABS applicants must contact us immediately. Do not wait until the internal deadline, or you may miss the window to obtain prior consent in the system.)
  • TAO System Final Deadline:February 20, 2026 at 9:00 AM
    • (This is the hard system closure time. Step 1 (Student), Step 2 (Recommender), and Step 3 (Coordinator Endorsement) MUST all be completed before this time.)

Application Steps

Phase 1: Internal Registration (To obtain access) Please email the following documents to ptm105_9467@ntnu.edu.tw by January 23 (Fri):

  • Email Subject: [Tohoku Exchange] StudentID_Name_Program (e.g., JYPE)
  • Attachments:
    1. Official English Transcript (PDF)
    2. Certificate of Language Proficiency (PDF, e.g., TOEFL/IELTS or JLPT, as required by the specific program)

Phase 2: Online Application (TAO System, Tohoku University) After verifying your eligibility, the CoS,NTNU Office will reply with the exclusive application link governed by Tohoku University. Please proceed in the following order:

  1. STEP 1 (Applicant): Create an account, fill in the application form, and upload documents.
    • Note: JYPE/DEEP applicants must contact prospective supervisors beforehand; COLABS applicants must complete the “Prior Consent” in the system by Jan 30.
  2. STEP 2 (Recommender): The system will automatically email your professor. They must upload the recommendation letter and submit it.
  3. STEP 3 (Coordinator): The system notifies the College Office to verify and provide the Endorsement (Certificate of Enrollment).
  4. Completion: Once all steps are done, the applicant must log in again and click “Complete my application”.
